Privacy Policy

This Privacy Policy explains what information the Oyunlag mobile application (the “App”) collects, how we use it, and the choices you have. It applies to parents, teachers, and students who use the App as part of Oyunlag School’s communication services.

01Who we are

The Oyunlag App is operated by Oyunlag School, a private school based in Ulaanbaatar, Mongolia. The App is provided to facilitate communication between the school, teachers, parents, and students — including announcements, class information, attendance, chat, and event updates.

In this policy, “we”, “us”, and “our” refer to Oyunlag School. “You” refers to anyone who downloads, installs, or uses the App.

02Information we collect

Account information

When you sign in, we collect basic account information such as your name, email address or phone number, role (parent, teacher, student, or staff), and the school class(es) you are associated with. Authentication is handled through a secure third-party identity provider.

Communication content

The App lets users send messages, photos, videos, files, and voice notes in chat conversations between authorised users (e.g., parent ↔ teacher, class groups). We process and store this content so it can be delivered to the intended recipients and so you can access your message history.

School data

We process information related to school activities that you or the school choose to make available in the App, such as attendance records, class schedules, grades, notices, assignments, and event details.

Device and technical information

To operate the App and diagnose problems, we collect technical information such as device type, operating system version, app version, language preference, time-zone, push-notification tokens, and crash or error logs.

Optional content you provide

With your permission, the App may access your camera, microphone, photo library, or files in order to let you capture photos, record voice messages, attach files, or save downloaded media. We only access these when you actively use the related feature, and we never browse, scan, or upload content you have not chosen to share.

03How we use information

We use the information described above to:

  • Provide and operate the App and its core school-communication features.
  • Deliver chat messages, attachments, and notifications to the intended recipients.
  • Authenticate users and protect accounts against unauthorised access.
  • Send school-related push notifications (e.g., new messages, announcements, attendance alerts).
  • Maintain reliability, diagnose crashes, and improve performance.
  • Comply with applicable laws and respond to lawful requests from authorities.

We do not use your personal information for advertising, and we do not sell or rent personal information to third parties.

04Sharing and disclosure

We share information only in the following limited circumstances:

  • With other authorised users of your school. Messages, photos, and other content you send in the App are delivered to the recipients you choose (e.g., a teacher, a parent, a class group).
  • With service providers that help us run the App, such as cloud hosting, authentication, push-notification delivery, and crash reporting. These providers may only use your information to provide the service to us, under appropriate confidentiality and security obligations.
  • With the school administration for legitimate school purposes (e.g., reviewing reported content, administering accounts).
  • When required by law — for example, in response to a valid legal request from a competent authority, or to protect the rights, safety, and property of users or the school.

05Data storage and security

Information collected through the App is stored on secure cloud servers operated by reputable providers. We use industry-standard safeguards — including encryption in transit (HTTPS/TLS), access controls, authentication tokens, and audit logging — to protect personal information from unauthorised access, alteration, or disclosure.

No system is perfectly secure. If you believe your account has been compromised, please contact us immediately at the address in the “Contact us” section.

06Data retention

We retain personal information for as long as your account is active and for a reasonable period afterwards in order to comply with our legal obligations, resolve disputes, and enforce our agreements.

When you or the school close an account, we will delete or anonymise the associated personal information within a reasonable timeframe, unless we are required to keep it for legal or legitimate school-administration reasons (for example, archived academic records).

07Your rights

You may, subject to applicable law, request to:

  • Access the personal information we hold about you.
  • Correct inaccurate or out-of-date information.
  • Delete your account and associated personal information.
  • Restrict or object to certain types of processing.
  • Withdraw a consent you previously gave.

To exercise any of these rights, contact us using the details in the “Contact us” section. We may need to verify your identity before acting on a request. For accounts that belong to students under the age of consent, requests must be made by a parent or legal guardian.

08Children’s privacy

The Oyunlag App is designed for use within a school community and may be used by children, including students under the age of 13. We treat children’s data with particular care.

  • Children may only access the App through accounts that are created or approved by their school and, where required by law, with parental consent.
  • We do not knowingly collect personal information from a child outside of the legitimate school-communication purposes described in this policy.
  • We do not show third-party advertising to children, and we do not use children’s information for advertising, profiling, or behavioural targeting.
  • Parents and legal guardians may at any time review, request correction of, or request deletion of their child’s information by contacting us at info@oyunlag.edu.mn.

If we become aware that we have collected personal information from a child in a manner inconsistent with this policy or applicable law, we will take steps to delete that information as soon as reasonably possible.

09International transfers

The App and its supporting services may be hosted on infrastructure located outside Mongolia. Where personal information is transferred across borders, we take reasonable steps to ensure it continues to be protected by appropriate safeguards consistent with this policy and applicable law.

10Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in the App, the law, or our practices. When we make material changes, we will update the “Last updated” date at the top of this page and, where appropriate, provide additional notice within the App. Your continued use of the App after a change takes effect means you accept the updated policy.
